Здравейте, колежката ми напусна и си търсим координатор/администратор на проекти. Във фирмата работим 15-тина души в Канада и може би още толкова в Китай. Занимаваме се с внедряване на ERP софтуер (Microsoft Dynamics AX). В групата е още една фирма, която продава ИТ оборудване и предлага съответните услуги основно на държавни фирми, училища и т.н. Собственикът е канадски китаец, съответно фирмената култура е смесица между канадска и китайска. Нямам представа за заплатата. Пишете ми на лични за въпроси, ако проявявате интерес.

EPM = уеб-интерфейс към MS Project, използваме го основно за попълване на работни карти и следене на статуса на задачките.

Overview: To provide the Company with:

Project Management Assistance

Collaborate with the office in China for the successful completion of their project tasks

Customer Support Coordination

Task Management Assistance for Company Headquarters and China office

Document Maintenance


1. Education/Language Requirements:

· Post secondary degree/diploma in Business, Economics or Mass Communications or equivalent
· Fluent English skills
· French and Chinese language skills are considered assets

2. Skill/Experience Requirements:

· At least 2 years of administrative experience required
· At least 1 year of customer service experience preferred
· At least 1 year of experience in financial reporting and analysis is an asset
· MS Office 2003 experience including Excel and Word is required
· MS Project 2003 preferred
· Microsoft Dynamics AX ERP experience preferred
· Must be able to converse with business people about tasks as related to project management
· Must have excellent communications skills: written and verbal

3. General Responsibilities:
.
· Develop MS Project charts from discussions with staff at Headquarters and staff in China Office.
· Work with the Project Teams in China and Headquarters to setup projects and tasks for each contract and support call and to help keep the projects “on track” with the aim of closing the project on time, on budget with excellent client satisfaction. Includes: written and verbal communications, tracking and analysis.
· Determine the status of a task through proper setup of a project and collaboration with Project team and Project manager.
· Creation and maintenance of project tracking for contracts and support calls in e.g. MS Project, EPM, Axapta Project, MS Office
· Service call management:
o Coordination
o Assure that all calls are answered immediately, assigned to a consultant, project set up if necessary, and follow-up as required
o Maintain “service call management” database: log of calls, assignment, status, callbacks, problem, “cure”, follow-up
· “Task Management” for the Group’s management team
o Creation and maintenance of task/activity lists
o Determine and track status
o Forewarn staff of pending deadline
o Assist teams with the updating of tasks in EPM
· Creation and maintenance of process documents used by the Group
· Maintain the inventory of documents and communications with clients within EPM
. Assistance in creating and assembling pre-sales presentations and documents.
. Assemble data and prepare supporting data/documents/reports for ongoing projects and projects requiring billing
. Assist in the coordination of corporate events
. Assist in projects involving the development of the China office
. Create sales/service/rental invoices in Axapta based on internal work orders Follow up with customers over the phone on outstanding invoices.
. Prepare supporting documents for problem A/R invoices and work with sales people for feasible solutions.
. Work with purchasing staff to rectify any pricing issues.
. Process all other non-trade invoices according to the specified procedures.
. Assist Manager with the documentation of internal processes
. Produce daily, weekly and monthly reports as specified.
. Perform A/R and A/P analysis as requested.

OTHER DUTIES

· Assist the Group’s management team as required from time to time
· Perform any other duties as requested.
